Atrex 7 Changes


The following is a list of changes that have been made to the Atrex 7 package since the 6.0x series. For your convenience, the list has been broken down into functional areas:

General/Misc. Changes:

  • Atrex 7 will be available for use with Windows 95 or higher and Windows NT 4.0 or higher. Any end user running Windows 3.1x or a version of NT before 4.0 will need to upgrade the O/S prior to installing Atrex 7.
  • Added an option to allow duplicate stock codes on invoices, orders, quotes, recurring invoices, purchase orders, and inventory transfers. You can now enter the same item multiple times on the same transaction. Each item is independent and can have it’s own pricing and additive description.
  • Popup calendars are available for all date entry fields.
  • Added ability to start major functions from inside of another transaction. This allows a user to start the invoice, rapid invoice, order, quote, receiving, or direct receiving functions from within one of those same transactions. This will allow a transaction to be ‘suspended’ temporarily while another function is run. This will also allow for the entry of serial numbers into the Atrex inventory while in the process of creating an invoice.
  • User ID selection is now pulled directly from the tables. To speed selections, an incremental search has been added to this selection window as well.
  • Added ‘Right Click’ capabilities throughout the package. Windows with right click functionality are indicated with a different window Icon.
  • Most recent entry lists are now saved when Atrex is closed and retrieved when Atrex is started again.
  • Added ability to save and retrieve SQL queries as text files directly from the SQL interface.
  • A navigation bar has been added to the SQL query window to make navigating the retrieved data easier.
  • Notes fields on transactions, stock codes, customers, and vendors have been expanded in size from 2K to 32K.
  • Modified the default transaction selection date range to 15 days instead of to the beginning of the month. This will prevent the need to constantly change the beginning selection dates during the first part of each month.
  • The backup utility now has the option to format floppy disks as part of the backup process to reduce backup verification failures.
  • Added barcode test utility to label printing window. This will allow users to quickly determine which barcodes will work for them.
  • Added support for the Code128 bar code format.

Invoices/Orders/Quotes (common features)

  • Added double-click population of payment amounts for invoices, orders, and service order completion payment windows. Double clicking on a payment type will populate that field automatically with the remaining balance of the transaction.
  • Added country and phone fields to the alternate shipping window.
  • Added right click capabilities to enable price change override on invoice, order, quote, and SO item windows.
  • Added visual indicators to indicate if an item is serialized, is a container, has been deleted, or is incomplete.
  • The transaction selection list can be sorted on any column by clicking on the appropriate column header.
  • The transaction selection window now includes the customer PO and reference fields for easier transaction lookup.
  • Added the ability to change the cost and taxable indicators of individual items on a one-time basis for the current transaction.
  • Order and quote selection lists will indicate if the quote or order is open or closed. (All invoices will be displayed as closed.)

Invoices

  • Rapid invoices can now use a different format than standard invoices.
  • Added a Return All button to the selection list for return invoices.
  • Return invoices that resulted in an account credit can now be modified if no amount of the credit has been posted to the account.

Recurring Invoices

  • Added ability to sort recurring invoice selection window by clicking on the column headers.
  • Added ‘1 time’ notes to recurring invoices. Notes entered into this field will be transferred to an invoice once and then cleared.
  • Added option to recurring invoice items to pull price from stock code table during processing. This will allow for price updates for items that may vary in price.
  • Added an additive description field to the recurring invoice item window.

Orders

  • The open order selection list can be sorted on any column by clicking on the appropriate column header.
  • Order shippable status is now determined on a per transaction basis. The function no longer calculates availability based upon prior open orders, which allows for the selection list to be accurate regardless of the sorting method.
  • Added ability to edit payment information for orders after they have been saved.
  • Pick lists can now be printed directly from the open order shipping selection window.

Quotes

  • Editing a quote and saving it down as a new quote will no longer purge the items from the original quote.
  • Added ability to change the customer associated with a quote when saving a quote edit as a new quote.

Purchase Orders (PO)

  • Added a visual indicator to indicate serialized items during the receiving process.
  • The PO selection list can be sorted on any column by clicking on the appropriate column header.
  • Added additive description capabilities for PO Items.
  • Added an expected due date, reference, and external PO number fields to the PO record.
  • Added the reference and external PO number columns to PO selection list.
  • Added the ability to save down a direct receiving session as a completed PO.
  • Added the total cost of the outstanding PO items to the outstanding PO report.
  • Vendor stock codes can be retrieved via popup menu for standard PO and online PO creation windows as well as the item detail windows for both functions.
  • Reworked the PO Online creation routine for performance. Retrieval of the suggested reorder items is now approximately 25 times faster.
  • The PO selection list will indicate if the listed PO is open or closed.
  • Added ‘Alarm’ icon indicator to the open PO selection window to indicate which purchase orders are past due.
  • Added the ability to update and build the vendor stock codes as part of the receiving process.
  • Added the ability to auto-accept Online PO suggested quantities.
  • PO Item information and PO Online Item information windows will now display the vendor stock code for the current item.

Receivables/Payables

  • Added the ability to sort payables by invoice/bill # for easier selection.
  • The statement selection list can be sorted on any column by clicking on the appropriate column header.
  • Posting detail has been added to payment receipts.
  • Credit card information has been added to AR payment receipts.
  • Mailing labels can now be printed as part of the statement processing function.

Customers

  • Added a max credit field to customer record. This value will be checked against the customer balance at the completion of each transaction, and will warn the user if the transaction will cause the customer to exceed their allowed credit amount.
  • Added a no-mail indicator on customer record and added an option to exclude no-mail customers from both mailing labels and export functions.
  • Added ‘move by’ buttons on navigation bar. Clicking on this button moves forwards or backwards by 10 records.
  • Added bookmark and ‘Go To Bookmark’ capabilities. You can set a bookmark, jump to another customer, and then jump back to the bookmarked customer with a click of the mouse.
  • Added a ‘search’ button to the navigation bar to allow direct movement to another record by selecting from a list.
  • Credit card numbers stored on the customer record are now validated for accuracy when exiting the field.
  • Added ability to assign a customer to a master account. All transactions for the customer will be assigned to the selected customer, but all AR information will be assigned to the master account.
  • Extended customer resale number to 20 characters.

Stock Codes

  • Added direct markup information on stock code information window. These read only fields show the actual difference between the cost and the pricing level.
  • Added an additional selection key. Entering a stock code ending with ?? at the stock code entry window will cause the selection filter to be displayed immediately after limiting the list to the characters entered before the question marks.
  • Categories have been extended from 10 to 15 characters.
  • The model field has been extended from 10 to 15 characters.
  • Added ‘move by’ buttons on navigation bar. Clicking on this button moves forwards or backwards by 10 records.
  • Added bookmark and ‘Go To Bookmark’ capabilities. You can set a bookmark, jump to another stock code, and then jump back to the bookmarked stock code with a click of the mouse.
  • Added a ‘search’ button to the navigation bar to allow direct movement to another record by selecting from a list.
  • Added the ability to specify a specific pricing level to be printed on stock code labels.
  • Vendor stock codes can now be edited directly from the stock code editing window.
  • Incorporated an inventory worksheet update utility to make updates easier during a physical inventory.
  • Added the ability to retrieve detailed allocated, on-order, and RMA quantity information from the Stock Code Selection window via a right click or popup menu.
  • Added an option to exclude items from inventory reports with zero on-hand.
  • Added a popup window to display the details of an assembly build and to show which items are the limiting factors in the max build quantity calculation.
  • Added the ability to associate bitmap or jpeg images with stock codes. By using external links, the same image can be used for multiple stock codes.
  • Inventory can be transferred between multiple physical locations.

Serial Numbers

  • Serial numbers have been extended from 15 to 20 characters.
  • Serial numbers can be selected and printed from the label printing function.
  • Modified serial number range processing to allow for entering in pure numeric entries that are different in length. (999 to 1002)

Vendors

  • Added country fields to vendor information window.
  • Added ‘move by’ buttons on navigation bar. Clicking on this button moves forwards or backwards by 10 records.
  • Added bookmark and ‘Go To Bookmark’ capabilities. You can set a bookmark, jump to another vendor, and then jump back to the bookmarked vendor with a click of the mouse.
  • Added a ‘search’ button to the navigation bar to allow direct movement to another record by selecting from a list.

Service Orders (SO)

  • Added job complete column on main SO window. This will make it possible to see which jobs still need to be completed from the main SO window.
  • SO Jobs can now be deleted after being saved down to the database.
  • The VIN/Serial Number field has been extended from 18 to 20 characters on service orders.
  • The open SO selection list can be sorted on any column by clicking on the appropriate column header.
  • Added the ‘date in’ and the ‘due date’ to the open SO selection window.
  • Added an ‘Alarm’ icon indicator to Open SO selection window to indicate which service orders are past due.

Options/Customization

  • Network data locations can be selected directly without the need for a mapped network drive using the ‘Network Neighborhood’.
  • Added an option to set number of days forward to default the sales order due date.
  • Added an option to indicate the default of the ship partial indicator.
  • Report location utility has been added to determine from which location reports are being pulled. This is accessible via the System Information window.
  • Users can now add their own custom reports to the list of available report layouts.
  • Added a network setup assistant to help users create network installs.
  • Added ability to read and write a network setup disk. This will allow a user to transfer the data locations from one system to another without knowing any information about the network.
  • Added a utility to check the data and central paths of networked workstations to determine if all stations are using the same paths.
  • Use of remote paths will automatically be converted to UNC paths.
  • Added two user-defined fields to the company information screen. These fields will be printed directly below the company information at the top of customer related transactions. These fields can be used to allow the printing of a web address, email address, tax ID or any other information that you want printed at the top of a transaction.

Return Merchandise Authorizations (RMA)

  • Added the total outstanding stock value to bottom of the outstanding RMA report.
  • Added the original invoice number field for vendor RMAs. This invoice number is at the line item level to allow for the return of items purchases on multiple invoices to be returned on one RMA.
  • Added basic support for tracking customer return authorizations.

Data Import

  • Importing directly from most ODBC data sources is now supported.
  • When importing from a dBase, Paradox, or ODBC data source, the actual column names will be displayed in addition to the data.
  • The import function is now a single pass import. This will dramatically reduce import times.

Performance

  • Added additional index to serial number table to index only 'in-stock' serialized items. This will dramatically decrease the time required to retrieve a selection list of items from the table.
  • The data table upgrade routines have been completely reworked for performance. As part of the normal process, the indexes of the target table are removed prior to the copy of the data, and then replaced when the rebuild is done. This new process can reduce the rebuild time for large tables by 75% when run across a network.

Hardware Support:

  • Added ability to send multiple characters to cash drawer. This will allow compatibility with virtually all cash drawers.
  • Added ability to indicate direct open to serial port for cash drawer. As some cash drawers do not operate correctly using the Windows communication routines, users will have an option to open the port directly as a file.
  • Added 2x20 pole display support for Aedex, IBM Dumb Terminal, EMAX, and Ultimate modes. (Only serial displays are supported.)



Atrex 6 Changes


The following is a list of major changes made to version 6. All of these changes are also included in version 7.

  • Recurring Invoicing: This function allows you to invoice customers on a regularly scheduled basis for non-serialized items (such as monthly billing for pager rental). Recurring invoices can be charged to a credit card or charged to the customer account.
  • Additive Descriptions: Allows you to add to the description of individual items on printed invoices, orders, quotes, and service orders.
  • Tax Categories: Allows you to set up a virtually unlimited number of tax rates.
  • Pricing Categories: Allows you to set up a virtually unlimited number of pricing categories for your inventory. Make a change to the pricing in one place and update all of the stock codes associated with that pricing category.
  • Enhanced Backup/Restore: You can now make backups or restore from media other than floppy disks. You can even back up to your local hard drive or a network drive.
  • Auto-Posting of Payments: Now, with the click of a button you can automatically post a single payment to the customers oldest transactions.
  • AR Undo Facility: The AR Undo function was created to give you more control over your AR. Its primary function is to allow you to undo mistakes such as delete statements, finance charges, credits, payments, and charges/adjustments. You can even unpost credits and payments.
  • Pre-Assign Transaction Numbers: Atrex can now be set to pre-allocate numbers when processing invoices, returns, rapid invoices, orders, and purchase orders (using the new function). The assigned number will be displayed in the creation/editing window.
  • Enhanced Serialized Editing: The Edit Serial function now uses a grid to allow you direct access to all serialized items. You can sort the list by serial number or stock code, and edits are performed directly against the grid.
  • Customer Access: You can now edit the selected customers information from inside of a transaction.
  • Statement options: AR Statements can now be sorted by zip code and or customer name. You can also prevent customers with recent statements from getting begin processed a second time.
  • Enhanced filtering: You can now filter the selection lists by several additional fields. In addition, you can change the filter without having to restart the selection process.
  • View Profit Information: Now with a right click of the mouse, you can see the profit for an invoice, order, or quote while you are creating it.
  • Preview Enhancements: Group Trees on the preview window for many reports. Go right to the section that you are looking for instead of having to scroll through the entire report.
  • Direct Data Access: Support for UNC naming convention to elimiate the need for permanent drive letter mappings. The data location is now specified by \\server\sharename\directory.
  • Mobile location support: You can now make sales at a mobile location (such as a computer show) and merge the sales back into your main database as if they had been made there in the first place.
  • Enhanced Performance: Many of the selection lists have been reworked to greatly improve performance. Some selection lists are as much as four times faster.
